Future Humans Senior Program Coordinator

Purpose

The Berggruen Institute's Future Humans initiative is seeking a Senior Program Coordinator to support its interdisciplinary projects, ensuring seamless operations and effective communication across all initiatives. This role is critical to the program’s success by providing administrative, logistical, and communications support for various activities, including event planning, marketing coordination, internal communications, and asset coordination. The Senior Program Coordinator will work under the strategic oversight of the Senior Program Manager to help drive Future Humans' vision and objectives.

This full-time position is based in the Los Angeles Office, and will be required to be in office during the designated schedule. Currently we operate in the office on Mondays, Tuesdays, and Thursdays weekly. This position may require occasional travel and the ability to work some weekends as needed.

Key Responsibilities

Project Coordination & Support

  • Assist in managing multiple Future Humans projects, ensuring smooth execution and alignment with strategic goals.
  • Maintain project timelines, coordinate deliverables, and provide regular updates.Update and maintain project trackers used for weekly team meetings. Coordinate the submission of deliverables, ensuring all deadlines are met.
  • Serve as the primary liaison with the Communications team for project coordination, including managing tasks in Asana and ensuring effective communication across teams.
  • Oversee the organization and maintenance of digital assets such as media files, essays, and project documents, ensuring accurate storage, version control, and coordination of revisions.

Event Planning & Logistics

  • Support event planning efforts, including venue coordination, catering, invitation management, guest lists, RSVP tracking, and on-site support.
  • Assist with post-event reporting and reconciliation.

Internal Coordination & Calendar Management

  • Schedule and manage calendars for meetings, coordinating availability with internal teams and external partners.
  • Take detailed meeting notes and distribute action items and to-dos to relevant stakeholders.
  • Maintain up-to-date project records and deadlines.

Administrative & Financial Support

  • Assist with tracking expenses, processing invoices, and managing reimbursements in accordance with Berggruen Institute guidelines.
  • Support budget planning efforts by maintaining accurate financial records and ensuring compliance with organizational policies.
  • Provide administrative support for travel coordination and operational needs.

Qualifications & Skills

  • Proven organizational skills with attention to detail and the ability to handle multiple tasks simultaneously.
  • Strong written and verbal communication and collaboration skills.
  • Experience with event coordination, marketing support, and content development.
  • Able to use critical and creative thinking to solve problems, both large and small
  • Bachelor’s degree combined with three to four years of coordinator experience
  • Proficiency in project management tools such as Google Suite, Asana, and similar platforms.
  • Interest in interdisciplinary work that spans art, science, and philosophy, with a creative mindset and enthusiasm for innovative, forward-thinking projects.

Salary Range
